Tracking Job Costs

Job Management is at the heart of a contracting company. It is through the profitable execution of contracts that profits are made. The ProfiTRAC Accounting Job Cost Module allows you to keep track of costs and to project costs by quickly monitoring job performance and cash flow. The Job Cost Module allows you to project your estimated completion amount and, therefore, a profit or loss for each and all jobs.

Costs to the Job Cost Module are posted from the Payroll, Accounts Payable, and Contracts Receivable Modules and from the postings of miscellaneous entries through the general journal.

Because report data is updated after every posting operation, the job cost reports are always current, giving you the opportunity to make adjustments while the job is in progress, thus improving your profitability.

The cost categories used in job costing are tailored by you to meet the needs of each job. You enter estimated amounts and quantities according to your job cost estimate, and that becomes the basis for accumulating actual costs. The job cost reporting module then analyzes the estimated versus actual and gives you a variety of reports.

Cost information is accumulated, retained and reported on three levels.

Level 1: Reports, such as the Cash Flow Report, are printed with totals summarized by job. It is the intent of this report to give the owner and project manager an overview of all jobs currently under contract.

Level 2: The Job Cost-to-Date Report is an example of the second level of detailed reports which illustrates job costs by cost activity. This report is very useful in the week to week monitoring of the progress of costs that accumulate against the estimator's budgeted cost activities.

Level 3: The third level of detail is the Detail Audit. Every posting made to the job cost ledger is maintained by job, division/cost and date so that any cost activity on any job may be reviewed in detail upon demand. This information is also helpful in the preparation of time and material billings because it can be printed for a specific time period.
